Our recruitment process
Our Charter for Recruitment & Selection aims to create a positive recruitment and selection experience for everyone, across every part of our University, and for every level of post.
Our recruitment process is outlined here so that, as a prospective employee, you know what to expect when you apply for a role at Heriot-Watt.
You can register your interest in jobs at Heriot-Watt University by registering online and updating your preferences for jobs and email alerts at any time. We hold a prospect pool of people interested in roles at the University and you will be alerted if a vacancy is advertised that matches your preferences. Your online application is available for our management pool to view.
Your personal data is safe with us
We will keep the information you have provided securely and use it only to let you know about vacancies which may be of interest to you. We comply fully with the UK Data Protection Act, 1998 and relevant privacy laws in other countries. We will keep your details for one year and then ask you to re-register if you wish to keep in touch with us.

The application process
When you apply online your application will go directly to the Manager responsible for the vacancy. Any sensitive personal information such as your date of birth, religion, gender, sexual orientation will NOT be made avaiblable to the hiring manager. Only HR will have access to this information. The Manager will be able to see information about your Right to Work, whether you have declared a disability or any spent convictions so they can process your application legally and sensitively.

The selection process
Once you have applied for a vacancy online, the hiring manager will review your application against the requirements of the role. If you look like a good match you will receive email notifications and updates advising of interview arrangements and/or assessments.
Your interview and the assessment process
The type of interview or assessment we use varies depending on the requirements of the role we are recruiting for. We'll let you know which type of interview or assessments apply to the role you have applied for in advance of your interview.
Eligibilty to Work checks
When you apply for a vacancy online, you will be asked to answer some questions about your eligibility to work in the country you are applying. Should you be successful in being invited to interview, you will be asked to bring a copy of your right to work evidence. This could be a valid Passport or some other official form of identification. After you interview
After the interview/selection process has been completed, the hiring manager will advise you of the outcome via your online account.
The successful applicant will then receive an Offer of employment in writing from the HR team via the online job site. The Offer may be subject to certain conditions at this stage, such as satisfactory references and confirmation of any necessary documentation, such as eligibility to work in the UK or clear Diclosure Scotland checks.

- the manager who chaired the selection process directly or
- a member of the HR team, who will pass your request onto the selection panel
